Privacy Policy
Last updated October 15, 2026
This Privacy Policy explains how OpenCourt, Inc. (“OpenCourt”, “we”, “us”) collects, uses, shares and protects personal information, and the choices and rights you have. It covers:
- our websites, including getopencourt.com and teedesk.com (TeeDesk is the indoor golf edition of OpenCourt);
- the OpenCourt platform at app.getopencourt.com, the OpenCourt mobile apps, and the club-branded mobile apps we build for clubs;
- our APIs, integrations, BayControl, and our sales, onboarding and support communications
(together, the “Services”).
1. Who is responsible for your information
OpenCourt serves sports clubs and facilities (“clubs”) and the people who play at them. We have two roles:
- We decide how to use your OpenCourt account information. Your account belongs to OpenCourt, even when you create it through a club’s website or a club-branded app, and you can use the same account at every club on OpenCourt. For this information we are the “controller” (or “business”). It includes your name, contact details, login, profile, linked rating services, community and chat activity, your devices, your support conversations, and information about visitors to our websites and people at clubs that use or consider our Services.
- We process club information on behalf of each club. When you book, buy, join a membership, sign a waiver or otherwise deal with a club, that club decides how your information is used for its business. For this information the club is the controller and we are its service provider (or “processor”). This includes your bookings, orders, memberships, waivers, credits and balances at that club, and any notes the club keeps about you. The club’s own privacy policy also applies. For requests about that information, contact the club. We will help the club respond.
2. Information we collect
(a) Information you give us
- Account and profile: name, email address, phone number, date of birth, profile photo, and the sports and skill levels you choose to share.
- Family members: if you add family members, such as children, to a family account, or sign a waiver for a minor, the names and dates of birth you provide for them.
- Club activity: bookings, event and program registrations, memberships, waitlists, check-ins, purchases, gift cards (including a recipient’s name, email address and message), and your answers to any questions a club asks during sign-up.
- Waivers and agreements: the waivers and membership agreements you sign. For electronic signatures we keep the signature, your typed name, the signed document, the date and time, and the IP address and browser of the device used to sign.
- Payments: payments are handled by Stripe. We receive and keep only limited card details, such as the card brand, the last four digits, the expiry date and the country. We never receive or keep your full card number or security code.
- Messages and community: messages you send in group chats and direct messages, and the groups you join.
- Club and business information: if you run or work at a club, information about the club and your role, and the information you give when you ask us for a demo, sign up or contact sales.
- Support and feedback: what you tell us when you contact support or send feedback.
(b) Information clubs give us
Clubs add information about their customers, such as notes, tags, attendance, membership status and verified skill ratings. Clubs that use door-access, camera or video integrations may also cause access codes, door and bay access records, check-in records and recordings to be processed through the Services.
(c) Information collected automatically
- Device and usage information: IP address, approximate location derived from it, browser and device type, app version, pages and screens viewed, links clicked, referring pages, and dates and times. Our servers also keep technical logs of requests.
- Session recordings: on the OpenCourt platform and in our mobile apps, we record a sample of sessions (how pages are scrolled, clicked and filled in) to find and fix problems. Recordings do not include passwords or payment card details.
- Push notifications: if you allow notifications, a device token to send them.
- Cookies and similar technologies: see section 7.
- Phone features: some club-branded apps can use your phone’s Bluetooth and location to unlock a club’s doors near you, but only if you allow it. Our apps can also use your camera to take a profile photo and your calendar to add bookings, only when you choose to.
(d) Information from third parties
- Rating services: if you connect DUPR or World Padel Rating, we receive your ratings and related profile details (see section 5).
- Payment providers: payment status and limited card details from Stripe.
- Club tools: information from systems a club connects to OpenCourt, such as door access, cameras, video recording and league or player management services.
3. How we use information
We use personal information to:
- provide the Services: create and secure your account, let you book, pay, check in and take part in club activity, and let clubs run their business;
- process payments, refunds and payouts, and prevent fraud and misuse;
- send booking confirmations, reminders, receipts, security codes and other service messages;
- provide support, and understand how the Services are used so we can fix problems and improve them (analytics, error monitoring and session recordings);
- tell you about OpenCourt features and offers, and measure our own advertising. You can opt out at any time (see sections 7 and 8);
- keep the Services secure, enforce our terms, and meet our legal obligations.
We may create de-identified or aggregated information that no longer identifies you, and use it to improve the Services, including to train our own models. We do not use the content of your messages or free-text notes for that purpose. We do not use a club’s customer information to market other clubs to its customers.
Legal bases (EU, UK and Switzerland). We process personal information because it is necessary to provide the Services you ask for (contract); for our legitimate interests in running, securing, measuring and improving the Services and in marketing to business contacts (legitimate interests); because the law requires it (legal obligation); or with your consent, for example for non-essential cookies, for marketing where consent is required, and for connecting a rating service. You can withdraw consent at any time.
4. AI features
Some features use artificial intelligence. For example, our assistant for club staff answers questions about the club’s data. When you use these features, the relevant information is sent to AI model providers (such as Anthropic, OpenAI and Google) only to produce the answer. These providers process it on our behalf and may not use it to train their models. We keep the conversation so you can see it later and so we can investigate problems.
5. How we share information
- With the clubs you deal with. A club sees your profile and your activity at that club. If you are a member of a family account, the account holder sees family members’ club activity.
- With other players. Other people at a club may see your name, photo and skill level when you join an event, a roster, a group or a chat. Messages you send in a group are visible to its members.
- With our service providers that host, secure, support and operate the Services for us, such as cloud hosting, payments, email, SMS, push notifications, analytics, error monitoring and AI. They may use the information only to provide their services to us. Our current list of subprocessors names them.
- With rating services you connect. If you connect DUPR or World Padel Rating, we send them your match results, scores, teammates and opponents (by their rating-service ID), match dates and event details so they can calculate your rating, and we receive your rating back. These services make their own decisions about your information under their own privacy policies. You can disconnect them at any time in your account settings. Disconnecting stops future sharing but does not delete what they already hold.
- With tools a club chooses. A club may connect door-access, camera, video, league or marketing tools. The club decides what these tools receive, under its own privacy policy.
- For advertising measurement. Our websites use Google Analytics and Google Ads to measure visits and the results of our own ads (see section 7). Clubs may turn on advertising measurement tools, such as Meta Pixel, Meta Conversions API, Google Analytics and Google Ads, for their own pages and purchases. When a club does, OpenCourt sends those tools information about your visit and purchase on the club’s behalf, such as your hashed email address and phone number, your IP address and browser, and the order value. Some state laws treat this as “sharing” personal information for advertising.
- For legal reasons, when we believe in good faith that the law requires it, or to protect the rights, property or safety of OpenCourt, our users or others.
- In a business transfer, such as a merger, acquisition or sale of assets, subject to this Privacy Policy.
We do not sell personal information for money. We do not share it with third parties for their own direct marketing.
Mobile information and text messaging: Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All of the categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. Children and minors
You must be at least 13 to create your own OpenCourt account. Many clubs run programs for children, so a parent or guardian can add children to a family account, register them for activities and sign waivers for them. In that case the parent or guardian provides the child’s information, and the club and the parent or guardian decide which activities the child takes part in. A parent or guardian can review, correct or delete a child’s information by contacting us or the club. We do not knowingly let a child under 13 create an account or send us information directly. If you believe this has happened, contact us and we will delete it.
7. Cookies and your privacy choices
We use cookies and similar technologies (such as local storage and pixels) for these purposes:
- Essential: to keep you signed in, protect forms from bots (Cloudflare Turnstile), take payments (Stripe), and remember your region and privacy choices. Our privacy cookies are
oc_region(your consent region, for one day) andoc_consent(your choice, for about six months). These cookies cannot be turned off, because the Services do not work without them. - Analytics: to understand how the Services are used. We use PostHog (cookies starting with
ph_) and Google Analytics (cookies starting with_ga). - Advertising: on our websites, Google Ads cookies (such as
_gcl_au) measure the results of our ads.
Your privacy choices. Use the “Your privacy choices” link at the bottom of our websites to accept or reject analytics and advertising cookies, and to change your choice at any time. If you are in the European Economic Area, the United Kingdom, Switzerland or Quebec, these cookies stay off until you accept them. If you reject them, we may still count visits without cookies, in a way that does not recognize you on a later day. Elsewhere, these cookies are on unless you turn them off.
Global Privacy Control. Our websites treat a Global Privacy Control (GPC) signal from your browser as a request to opt out of sharing for advertising, and turn advertising cookies off for that browser. We do not respond to “Do Not Track” signals, because there is no common standard for them.
You can also block or delete cookies in your browser settings. Some features may not work without them.
8. Communications
- Email: we send service emails about your account, bookings and payments. These are part of the Services, so you cannot opt out of them while you have an account. Clubs can also send you emails through OpenCourt. To stop marketing emails, from OpenCourt or from a club, use the unsubscribe link in the email or contact us.
- Text Messages (SMS): If you agreed to receive text messages from OpenCourt, you can opt out at any time by replying STOP. Reply HELP for help, or email support@getopencourt.com. Message frequency varies. Message and data rates may apply.
- Push notifications: you can turn them off in your device settings at any time.
9. How long we keep information
We keep personal information for as long as we need it for the purposes in this Privacy Policy. This includes providing the Services, keeping accurate records, meeting legal, tax and accounting obligations, resolving disputes, preventing fraud and abuse, keeping the Services secure, and enforcing our agreements. OpenCourt accounts and club records are long-lived, so this can be many years. To decide how long to keep information, we consider:
- whether your account is still active, and whether the club you deal with still uses OpenCourt;
- how long the law requires or allows us to keep records, such as payment, tax and signed records;
- whether we may need the information to protect our rights or to answer a claim or dispute;
- whether it is still useful to keep the Services secure and working, such as logs and security records.
When you ask us to delete your account, we delete or de-identify your account information, except for what we still need for the reasons above. Club information is kept and deleted as the club’s agreement with us describes. Deleted information can stay in backups until they are replaced in the normal course. We may keep de-identified or aggregated information, which no longer identifies you, without a time limit.
10. Security
We use technical and organizational measures to protect personal information, such as encryption in transit, access controls and monitoring. No system is completely secure, so we cannot guarantee the security of your information. If a security incident affects your personal information, we will notify you and the authorities as the law requires.
11. International transfers
OpenCourt is based in the United States and stores and processes information in the United States. Some of our service providers process information in other countries. If you are outside the United States, your information is transferred to the United States and other countries whose laws may differ from those where you live. Where the law requires, we protect these transfers with safeguards such as the European Commission’s Standard Contractual Clauses and the UK International Data Transfer Addendum.
12. Your rights
You can see and update most of your account information in your profile. You can ask to delete your account in the app or at getopencourt.com/account-deletion. Depending on where you live, you may also have the right to:
- know what personal information we hold about you and get a copy of it;
- correct information that is wrong;
- delete your information;
- opt out of the sale of personal information, of sharing for advertising, and of targeted advertising;
- object to or restrict some processing, and withdraw consent;
- receive your information in a portable format;
- appeal our decision on your request.
To use these rights, email privacy@getopencourt.com. We may ask you to confirm your identity first. You can let an authorized agent make a request for you; we may ask the agent for proof that you authorized them. We will respond within the time the law requires. We will not treat you differently because you used your rights. If your request is about information a club controls (see section 1), we will send it to the club or ask you to contact the club.
United States
Residents of California and of other states with privacy laws can use the rights above. In the last 12 months we collected these categories of personal information, from the sources in section 2, for the purposes in section 3, and disclosed them to the recipients in section 5: identifiers (such as name, email address, phone number, IP address and device IDs); customer records (such as limited payment details and signatures); characteristics such as date of birth; commercial information (bookings, memberships and purchases); internet or other electronic network activity (such as usage, logs and session recordings); approximate geolocation; audio or visual information, such as photos and, where a club uses them, camera and video recordings; professional information for club staff and business contacts; and inferences such as skill levels. We do not use sensitive personal information to infer characteristics about you.
To opt out of sharing for advertising on our websites, use “Your privacy choices” or turn on Global Privacy Control. For advertising tools a club uses on its own pages, contact the club, or email us and we will help. California residents may also ask about disclosures of personal information to third parties for their direct marketing (Cal. Civ. Code §1798.83); we do not make such disclosures. Nevada residents may ask us not to sell their covered information; we do not sell it.
European Economic Area, United Kingdom and Switzerland
You have the rights listed above under the GDPR, the UK GDPR or Swiss law. You can also complain to the data protection authority where you live or work. We would like the chance to address your concern first.
Canada, Australia and other countries
You can ask to access or correct your personal information and ask questions about how we handle it. If you are not satisfied with our answer, you can contact the privacy regulator where you live, such as the Office of the Privacy Commissioner of Canada or the Office of the Australian Information Commissioner.
13. Changes to this Privacy Policy
We may update this Privacy Policy. We will change the “Last updated” date at the top. If a change is material, we will tell you in advance, for example by email or in the Services.
